Sharing Student Health Records With School Nurses

Nemours is making it easier for school nurses who work in Delaware public schools to be a part of your child’s care team. They can log onto NemoursLink, our electronic medical records system, with their computer. There, they can see a child’s plan of care and information about almost every visit to Nemours/Alfred I. duPont Hospital for Children or a Nemours office in Delaware. School nurses can only view a child’s records if a parent or guardian has signed a form in advance.

Examples of what school nurses can see:
  • current medications
  • diagnosis information
  • treatment plans
  • care instructions after an injury, illness, surgery, or hospitalization

How to Get Started

Through the sharing of Nemours’ health records, the Student Health Collaboration (SHC) is helping school nurses achieve the best, safest care possible for patients in Delaware public schools. Access to these electronic health records is through NemoursLink, the secure, web-based electronic portal through which Nemours can share medical information with approved community health professionals. NemoursLink allows school nurses a read-only view into the student’s records.

To get started, depending on whether you are a school official, school nurse, or parent, here are the steps you should follow:

 
Delaware School Nurses & School District Professionals
If your school is not already enrolled in the program, you’ll need to:
  1. Have your school district or charter school complete the Partner Agreement form.
  2. Complete the User Agreement form to access Nemours’ medical records. Note that the User must be a licensed Registered Nurse.

Both the Partner Agreement and User Agreement provide an acknowledgment of responsibilities under state and federal privacy laws and regulations including, but not limited to, the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the Family Educational Rights and Privacy Act (FERPA). Once these steps are completed and authentication is confirmed, you’ll receive written notification that your access to Nemours’ medical records has been granted. Is your child a Nemours patient and a student in Delaware’s public schools?

If you’re interested in learning more about how you can participate in this program, please first contact your school’s nurse to see if your child’s school is participating. If so, the school nurse will ask you to fill out a consent form to grant access to your child’s medical records.

School Nurses Can Access Medical Records of Kids With Chronic Illnesses

Recently, a child with diabetes who had also been diagnosed with an allergy to ibuprofen came into a school nurse’s office. The student’s parents had forgotten to notify the nurse of the change in their child’s allergy situation. Thankfully, through NemoursLink the nurse was able to see the child’s medical records and the documentation of the recent drug allergy — preventing a potential health crisis.

What Is NemoursLink?
 
What Records Can a Participating School Nurse See?

With NemoursLink, participating school nurses can see most things that happen when a Nemours provider treats a child. For example, the school nurse can see:

  • notes from the doctor (including letters indicating if a child needs to miss school or physical education class)
  • treatment plans (for conditions from allergies and asthma to heart conditions and recent infections)
  • medicines and how to use them
  • lab and imaging reports

For enhanced privacy, the nurse can’t see any records from behavioral health/psychiatric visits or adolescent encounters.

 
How Is the Privacy of Children’s Medical Information Protected?

Before anyone can see a child’s health record, parents have to sign a consent form and return it to the school nurse or a Nemours provider. It allows approved school nurses to see a child’s medical record. For additional safety, Nemours keeps track of everyone who uses our records system — and what they view.

 
How Long Will a Child’s Form Be Valid?

The consent form states that the permission will expire on June 30 of the current school year, unless otherwise specified. If the student will attend summer school, the parent can choose to specify August 15 as an expiration date. A new form will have to be signed for the next school year.

 
Do Parents Have to Participate if Their Child’s School Is Participating?

Not at all — it’s completely up to the parents to decide whether or not to participate. If you’re interested, simply ask your child’s school nurse or Nemours provider for a Student Health Collaboration consent form.

 
Why Should Parents Sign Up?

The more school nurses know, the more they can do to help. NemoursLink connects them to information from the Nemours experts who care for your child. Please note that your input is very important. Stay in touch with the school nurse. Tell him or her right away if your child’s care plan or medicine changes — and anything else you think they should know.

 
Is There Any Cost Associated With Participating?

For schools, there is no direct charge by Nemours for accessing our records system. The only costs would be any updates, if needed, to computers, browsers, or access lines. For parents, the Student Health Collaboration is completely free.

School Nurses Can Access Medical Records for Their Youngest Students

A fourth grader recently returned to a local school without a note. It happened to be the day of a school-wide exercise program in which the boy wanted to participate. The school nurse was able to log into NemoursLink and see that the student was cleared to exercise, putting a big smile on the little guy’s face!
